Privacy policy of the EQui-T cooperation project
The University of Graz, PPH Augustinum, PH Styria, the University of Granada, the University of Tallinn, the University of Padua and the University of South-Eastern Norway as cooperation partners of the EQui-T research project (hereinafter referred to as EQui-T consortium) take data protection very seriously and treat your personal data confidentially and in accordance with the statutory provisions. This privacy policy is intended to inform you about the purpose, legal basis and your rights in connection with the processing of personal data in the context of the project in accordance with Art. 12, 13, 14 GDPR.
1 Purpose, scope and legal basis of data processing
1.1Visiting our website
The EQui-T project website is hosted by the University of Graz. When the University of Graz website is accessed, our web servers temporarily store each access in a log file. The following data is recorded and stored until it is automatically deleted
- IP address of the requesting computer
- Date and time of access
- Name and URL of the retrieved data
- Amount of data transferred
- Message as to whether the retrieval was successful
- Identification data of the browser and operating system used
- Website from which the access was made
- Name of your internet access provider
Purpose of data processing: This data is processed for the purpose of ensuring the use of the website (connection establishment), system security and the technical administration of the network infrastructure. In addition, the processing serves to optimize the Internet offer of the University of Graz. The IP address is only evaluated in the event of attacks on our network infrastructure.
Legal basis for data processing: The processing of the above-mentioned data is carried out in particular on the basis of the existing overriding legitimate interest (Art 6 para 1 lit f GDPR) of the University of Graz in ensuring system security, the technical administration of the network infrastructure and the optimization of the Internet offer to fulfill university tasks, taking into account the guiding principles for universities in the fulfillment of their tasks (see §§ 2 and 3 UG).
Website analysis services: Our website uses "Matomo" to measure reach and usage. For this purpose, so-called "cookies" (small text files) are stored on your computer and transmitted to the server in order to process usage information exclusively for absolutely necessary purposes of reach and usage measurement. The software is set so that the IP addresses are not stored in full, but the 3rd and 4th octet of the IP address are masked (e.g. 192.168.xxx.xxx). In this way, it is generally no longer possible to assign the shortened IP address to the calling computer. The information generated by the cookie about the use of the site is not passed on to third parties.
Purpose of data processing: The processing of the data serves to measure reach and usage, in particular to compile reports on aggregated website activities (reach measurement, estimation of the performance of the required servers, analysis of the content accessed, detection of navigation problems, etc.) and thus improve our website. In this way, we fulfill our university tasks (in particular supporting national and international cooperation; supporting the use and implementation of their research results in practice and supporting the social integration of results of the development and development of the arts) in compliance with the guiding principles for universities (efficiency, economy and expediency of management).
Legal basis for data processing: The processing of the above-mentioned data is carried out in particular on the basis of the existing overriding legitimate interest or public interest (Art 6 para 1 lit f and e GDPR in conjunction with §§ 2 and 3 UG) of the University of Graz as a public institution in the improvement of the website to fulfill university tasks, taking into account the guiding principles for universities in the fulfillment of their tasks (see §§ 2 and 3 UG).
You can prevent the installation of cookies by setting your browser software accordingly. If you do not agree to the storage and analysis of the usage information generated, you can object to this below. In this case, a so-called deactivation cookie will be stored in your browser, which means that "Matomo" will not collect any session data. Please note: If you delete your cookies, the deactivation cookie will also be deleted and you will have to store it again.

1.2 Making contact
When you contact us (by email, telephone or contact form), the data you provide will be processed as required to process and respond to your request. These are usually
- First name and surname
- Address
- Email address
In addition to the data listed above, the following optional data provided by you may be processed. This is the following:
- Gender
- First and subsequent academic title
- Telephone number
- Institution/organization/subject
- Matriculation number
This data is processed for the purpose of processing and responding to your inquiry. The data will be stored by us for at least six months or for the period required to process your request in the event of follow-up questions.
The processing of the above-mentioned data is carried out in particular on the basis of the existing overriding legitimate interest (Art 6 para 1 lit f GDPR) of the EQui-T consortium in the fulfillment of this purpose.
1.3 Newsletter (e-mail distribution list)
For the purpose of receiving electronic information on events and EQui-T news, we usually process the following personal data:
- Salutation
- First and last name
- Email address
- Institution/organization (optional)
This data is processed on the basis of your consent (Art. 6 (1) (a) GDPR), which can be revoked at any time, in order to send you the requested news and information.
1.4Event management
For participants: For the purpose of organizing and conducting the events, we process the following personal data, which you as a participant provide yourself when registering for the event:
- Salutation
- First and last name
- Title (optional)
- Email address
- Telephone number (optional)
- Institution/organization
We process the above-mentioned data as part of the registration, organization, implementation and documentation of the event. The processing of the above-mentioned data is carried out in particular on the basis of a contract or for the implementation of pre-contractual measures (Art 6 para 1 lit b GDPR) and for the purpose of reporting to the funding body of the project (EACEA).
The processing of the mandatory data is necessary for the administration of the event. If you do not provide us with the data, participation in the event is unfortunately not possible.
For speakers: For the purpose of organizing and running the events, we process the following personal data that you provide yourself as a speaker:
- Salutation
- First name and surname
- Title (optional)
- Organizational affiliation
- Telephone number (optional)
- Lecture title
We process this data for the purpose of fulfilling the contract or to carry out pre-contractual measures (pursuant to Art. 6 para. 1 lit. b GDPR).
In addition, we process your short biography and your photo for the purpose of organizing and holding the events, if you optionally provide us with these. We process this data on the basis of your consent.
1.5Public relations work
As part of events, we, the EQui-T consortium, take photos or videos. If necessary, these photos or videos are published for public relations purposes and to present our activities on media channels (central EQui-T website, websites of the cooperation partners: University of Graz, PPH Augustinum, PH Styria, University of Granada, University of Tallinn, University of Padua and University of South-East Norway and their media or social media accounts, newsletters).
The processing of the photos or videos (optionally with names, titles, function of the persons depicted and explanatory texts) is carried out for the purpose of public relations work, for the presentation of EQui-T activities in the legitimate interest of the EQui-T consortium to fulfill the grant agreement with the EACEA (Art. 17.1 of the Grant Agreement: "...the beneficiaries must promote the action and its results by providing targeted information to multiple audiences (including the media and the public)...").
1.6 Research activities
The processing of personal data in the context of research projects is carried out in compliance with the principles and requirements arising from the statutory provisions (GDPR, DSG and FOG). While ensuring appropriate protection for personal data, only the data required to achieve the purpose is processed.
The data collected and processed in the context of research activities to achieve the project objectives varies greatly depending on the type of research activity and any individual circumstances in the cooperation partner countries are carefully taken into account with regard to the handling and protection of personal data. Details on data processing in the context of the specific research activities can be found in the individual data protection declaration, which is handed out in the context of the respective research activity.
Deviations from the general criteria for the storage period specified under "Storage period" arise in the research area due to
a) Art 5 para. 1 lit e in conjunction with Art 89 GDPR, according to which the storage of data for the purpose of use for scientific research is possible for longer if appropriate technical and organizational protective measures (e.g. pseudonymization, protected separate storage) are taken.
b) the need to retain primary data that formed the basis of a publication for the purpose of demonstrating good scientific practice.
Retention for the purpose of demonstrating good scientific practice is based on the following (alternative or cumulative) legal bases:
Art 6 para 1 lit c or e or Art 9 para 2 lit j GDPR in conjunction with §§ 5 and 19 UG in conjunction with § 3 of the statute section "Principles to ensure good scientific practice and to avoid misconduct in science" as a legal obligation to or in the public interest in the retention of research data on which the publication was based for 7 years from publication
Art. 6 para. 1 lit. f or e GDPR in conjunction with §§ 2 and 3 UG: Retention of raw data for 10 years from publication in accordance with international research practice (e.g. DFG: Guidelines for safeguarding
good scientific practice - Guideline 17)
Art 6 para 1 lit e or Art 9 para 2 lit j GDPR in conjunction with § 2f para 3 no 1 FOG: if the FOG is used as the legal basis in compliance with the appropriate measures pursuant to § 2d FOG: retention of raw data for at least 10 years
2 Storage period
If no separate storage period is specified for the individual processing purposes, your data will be stored as follows, depending on the respective legal basis for the processing:
In the case of a contract: We store your personal data for as long as is necessary for the performance of the contract (in particular event contract, funding contract). In addition, we only store your data if there are statutory retention periods or for the duration of potential legal claims (limitation periods).
With consent: Data that we process from you on the basis of your consent will remain stored until you withdraw your consent/will be deleted after the end of the project. In addition, only your absolutely necessary personal data will be stored for the purpose of proving your consent or your revocation for a period of 3 years from revocation.
In the case of legitimate/public interest: We process the data for as long as this is necessary to safeguard the legitimate/public interest or until an objection is raised. In addition, we only store your data if there are statutory retention periods or limitation periods regarding potential legal claims are open.
Transmission of your personal data
In principle, your personal data will only be processed by the cooperation partners or within the EQui-T project and in the case of necessary reporting to the funding body (e.g. to prove the number of participants at events). Data will not be transferred to external recipients, with the exception of the cases explicitly mentioned in the individual processing operations.
3. your rights
In connection with the processing of your personal data, you have the following rights at any time, which can be asserted at the administrative office set up by the jointly responsible parties at the University of Graz, Institute for Educational Research and Pedagogical Education:
- Right of access to the personal data concerned (Art 15 GDPR),
- Right to rectification (Art 16 GDPR) or erasure (Art 17 GDPR) or to
restriction of processing (Art 18 GDPR),
- right to data portability (Art 20 GDPR),
- right to object (Art 21 GDPR),
- right to withdraw consent (Art 7 (3) GDPR), which does not affect the lawfulness of processing based on consent before its withdrawal,

- right to lodge a complaint (Art 77 GDPR),
which must be lodged with a supervisory authority.
